We’re looking for a specialist who will help keep things running smoothly, from supporting the department lead and coordinating tasks to tracking finances, projects, and documents.
Responsibilities:
- Provide daily administrative and operational support to the department lead, including communication follow-up and task coordination
- Support financial tracking activities, including monitoring outstanding payments and liaising with internal teams and clients
- Support internal team coordination, including assisting with communication, general team support
- Assist in monitoring ongoing projects, helping to track timelines, resource availability, and issue resolution, reporting and invoicing control
- Help ensure departmental adherence to internal policies, standards, and procedures
- Assist with the preparation, coordination, and circulation of legal documents, including contracts and approvals
- Contribute to monitoring key performance indicators (KPIs) and departmental metrics
- Maintain internal documentation, trackers, and tools used for planning and reporting
Requirements:
- 3 years of experience in a similar administrative or coordination role
- Strong organizational and communication skills
- Confidence in working with financial data and documentation
- Proficiency in working with Excel, Jira, Loop
- Basic understanding of legal/contractual documentation
- Strong attention to detail, responsibility, and ability to multitask
- Understanding of business processes and performance metrics
- English proficiency: C1 (required for internal and external communication)
