About the Role
We’re looking for a Personal Assistant who can keep pace with us, take ownership of tasks and build structure around them.
What you’ll do:

Manage CEO’s calendar and tasks (priorities, deadlines, reminders).

Prepare meetings: agenda, documents, follow-ups.
-
Organize business trips (visas, travel, accommodation).
-
Help organize internal and external events (e.g. team events in Cyprus).
-
Collect, analyze, and structure information.
-
Track and pay for services, subscriptions and invoices.
-
Prepare short reports and presentations.
-
Handle small but important team tasks (equipment, access, accounts, etc.).
What success looks like:
After 3 months:
-
Tasks are completed consistently and on time.
-
A reliable system is in place - calendar, reminders, automation.
-
The CEO has more time and focus for strategic work.
-
Team requests are handled quickly and smoothly.
After 12 months:
-
You’ve become a reliable, independent partner in operations.
-
You know how to break down tasks, own outcomes, and work through clear processes.

Your work brings stability and clarity to the entire operating system.
Your skills (Hard skills):

Fluent in both Russian and English - written and spoken.
-
Confident with Excel / Google Sheets (formulas, pivots, charts).
-
Experience organizing full business trips.

Digital-savvy: Google Workspace, task managers, etc.
-
Know productivity systems like GTD, Time Blocking, etc.
-
Bonus: knowledge of Greek (not required, just a nice-to-have).
Your mindset (Soft skills):

Highly organized, proactive, and responsible.

Can handle complex and unusual tasks.
-
Able to start from scratch, even without a “ready-made” process.

Very strong attention to detail.
-
Thinks ahead, acts without reminders.
