Family Office Operations Manager (Cyprus office)

We are setting up a Family Office for a private investor and are looking for the first person to join this function.

This person will help build the Family Office from the ground up and become the main point of coordination for the investor’s assets.

The role includes strategic coordination, operations, reporting, financial analysis, project management, and working with external advisors. The main goal is to make asset management clear, well-organized, and efficient.

This is not a role in an existing team. You will create processes, reporting, and control systems from scratch, working closely with the investor and their representative.

As the portfolio grows, the role may grow as well, including the opportunity to build a team.

The initial portfolio includes: 3 software development companies and 1 property management company. The portfolio is expected to grow.

Responsibilities

  • Build Family Office processes from scratch, including reporting, regulations, document flow, controls, and common standards for all assets;
  • Build and monitor key KPIs and OKRs across the portfolio;
  • Prepare consolidated management reports and analysis for the investor;
  • Oversee the property management company and track key real estate metrics such as occupancy, rental income, and overdue payments;
  • Record the investor’s decisions, turn them into tasks, monitor progress, and escalate issues when needed;
  • Monitor budgets and financial results across the portfolio, analyze differences between actual results and plans, and prepare recommendations;
  • Manage external advisors, including legal, tax, financial, and technical consultants: set tasks, monitor deadlines, quality, and budgets;
  • Coordinate corporate structuring, tax planning, and transaction support (at the start together with an investor and a professional consultant, then independently);
  • Identify and escalate key risks, including financial, legal, tax, operational, and reputational risks, and mitigate them;
  • Act as the main coordination point between the investor, portfolio companies, property managers, and external advisors;
  • Improve management processes and introduce Family Office best practices.
Requirements
  • 4–6 years of experience in a Family Office, asset management company, investment firm, financial or corporate services, or in an senior management operational role within a group of companies;
  • Experience working directly with a business owner or top management;
  • Experience building processes and creating structure from scratch,ability to work independently and deliver results in a fast-changing environment;
  • Project management experience in at least one of the following areas: corporate governance, finance and management reporting, or transaction support;
  • Good understanding of management reporting across multiple legal entities;
  • Experience with budgets, P&L, OPEX/CAPEX, and preparing materials to support management decisions;
  • Understanding of corporate governance and holding company structures;
  • Experience working with external lawyers, consultants, and advisors, including setting tasks and monitoring their work;
  • High autonomy, strong organizational skills, attention to detail, and a structured approach to work;
  • Ability to recognize when expert support is needed and involve the right specialists;
  • High level of integrity, reliability, and discretion when handling confidential information;
  • Strong communication skills and experience working with business owners, senior managers, external advisors, and service providers;
  • Fluent Russian and working proficiency in English;
  • Degree in Finance, Economics, Law, Business Administration, or a related field.

  • Experience working with a diversified portfolio, especially in software/technology companies and/or commercial real estate;
  • Experience making decisions on behalf of business owners, with a focus on long-term business growth and value creation;
  • MBA or a relevant professional certification.
