Evolution Gaming is looking to hire a responsible and forward-thinking Office Administrator for our branch in Minsk.
Duties and responsibilities:
- Maintain office services by organizing office operations and internal client service;
- Design, maintain and implement policies and procedures for document workflow, office physical security and visitor handling. Make efforts to optimize process workflows efficiently using technology;
- Maintain good working conditions and office efficiency by planning and implementing office systems, layouts, equipment and supply procurement at the same time looking for cost efficiency;
- Prepare Office Management (OM) department budget for Minsk office. Allocate and control financial resources within own area consistent with goals, priorities and budget. Analyse variances, initiating corrective actions if needed;
- Implement supplier/procurement strategy through rational, timely procurement planning and execution. Prepare statements of work and procurement requirements. Review alternative supplier proposals / applications and unsolicited proposals. Guide supplier/sub-contractor work. Monitor supplier performance, resolving issues as they arise;
- Develop and maintain the system of OM KPIs;
- Keep office equipment inventory list and mark all inventory items with inventory numbers;
- Provide OM-related updates for company internal communication channels;
- Organize corporate events, team buildings;
- Maintain general office tidiness and supervision of cleaners’ performance;
- Greet, assist, and/or direct the public to the appropriate host employee;
- Deal with incoming/outgoing correspondence in line with the policy, sign for deliveries and direct them to the appropriate staff member, receive/register and send mails and cargo from/to company parties or partners;
- Cooperate with building management/landlord;
- Take care of maintaining office in terms of construction works/repainting works, furniture inventory/selling/utilization/ordering and maintenance of existing assets;
- Assist in the planning and preparation of meetings, conferences, and conference calls, ensure availability of office supplies in meeting rooms.
Qualifications:
- Secondary (higher, special etc.) education;
- At least 2 years of office administration or other administrative role;
- Excellent written and verbal Russian and English communication skills;
- Experience with standard software applications, including MS Office, Windows;
- Data analysis skills with ability to produce reports, KPIs;
- High sense of responsibility;
- Effective multitasking, strong project management and time management skills;
- Outgoing personality with fast thinking and proactive attitude;
- Flexible and able to work in a fast-paced, ever-changing environment;
- Proven skill to run information search and draw information from various sources;
- The ability to accurately fulfil the direct management orders and work tasks;
